Privacy Policy
What we collect, why we collect it, who we share it with, how long we keep it, and how to get it removed.
This policy is written in plain English on purpose. If anything is unclear, email us.
Who we are
USBN Ventures LLC (formerly USBN Media) is a marketing, web design, and business scaling company based at 147 Front St #201, Brooklyn, NY 11201, in DUMBO. In this policy, "USBN," "we," "us," and "our" mean USBN Ventures LLC.
This policy explains what information we handle when you visit usbnventures.com, send us a request through the site, email or call us, book a strategy call, or work with us as a client. It applies to the website and to the services we provide, and it is written to be read start to finish without a lawyer next to you.
If you work with us under a signed proposal or statement of work, that agreement may also describe how we handle your business data. Where the two documents cover the same subject, the signed agreement controls for that engagement.
Information we collect
What you give us. When you fill out the contact form we receive the fields you type: your name, email address, company name, website, which services you are interested in, your budget range, and your message. We also record the page you sent the request from so we know what you were reading. If you book a strategy call, we receive the name, email, and scheduling details you provide, along with any notes you add to the booking. If you email or text us, we keep that correspondence and any attachments so we can pick the conversation back up later.
What is collected automatically. Like nearly every website, ours records basic technical information when you visit: your IP address, device type, browser and operating system, the pages you view and how long you stay, the site or search that referred you, and an approximate location derived from your IP address, which is usually accurate to the city, not the street. This information is collected through cookies and similar technologies and through analytics tooling described below.
What we receive from clients during an engagement. To deliver services we often need business data and access. That can include logins or delegated access to your website, hosting, domain registrar, content management system, advertising accounts, analytics properties, social profiles, email platform, review platforms, and call or scheduling systems. It can also include brand files, customer lists you choose to upload to an advertising or email platform, product catalogs, pricing, and performance reports. We ask for the narrowest access that lets us do the work, and we remove our access when the engagement ends or when you ask us to.
How we use it
We use the information described above to reply to your inquiry, prepare for and hold a strategy call, scope and price work, and then to deliver the services set out in your proposal or statement of work. That includes building and maintaining websites, running campaigns, producing content, configuring tools, and reporting on results.
We use contact and billing details to send invoices, collect payment, and keep accurate financial records. We use aggregate site analytics to understand which pages are useful, fix things that are broken, and improve navigation, speed, and copy.
If you ask us to keep you posted, we may send occasional marketing emails about our work, new articles, or services. Every one of those emails has an unsubscribe link, and you can also email us to be removed. We do not add people to a mailing list simply because they filled out a contact form.
Finally, we use information where we need it to comply with law, to enforce our agreements, to prevent fraud or abuse, and to keep our systems and our clients' systems secure.
AI tools
We use AI tools in our own work. They help us draft and edit copy, research, generate image or layout options, summarize analytics, and automate repetitive production steps. A person at USBN reviews and edits what those tools produce before it reaches you or the public. We do not paste client confidential material into consumer AI tools that would train on it.
For AI Tools Implementation clients, we may build and configure systems that operate inside your business, such as an AI phone answering assistant, an intake or booking workflow, a chat assistant on your website, a reporting pipeline, or an automation that moves data between the tools you already use. Those systems will process information about your customers, including things like a caller's phone number, the recording or transcript of a call, the details of an appointment, and any information a customer types into a chat or a form.
When we do that, we act as a service provider on your behalf. The data belongs to you, it is processed under your instructions and under your own privacy notice, and we use it only to build, run, test, and support the system you hired us to deliver. We do not sell that data, we do not use it for our own marketing, and we do not use it to train AI models. If an engagement ends, we return or delete that data as described in your agreement.

Data retention
Inquiries that do not become client relationships are kept for up to twenty-four months, which gives us enough history to recognize a returning contact and to understand where our work comes from. After that they are deleted.
Client project data is retained for the length of the engagement and then for three years afterward, so we can support past work, answer questions, resolve disputes, and meet tax and accounting requirements. Invoices and financial records are kept for seven years because tax law requires it. Backups roll off on their own schedule, generally within ninety days.
You can ask us to delete your information sooner. Email hello@usbnventures.com with the request and we will confirm and complete it within five business days, except where we are legally required to keep a record, in which case we will tell you what we are keeping and why.
Your rights
Wherever you live, you can ask us what information we hold about you, ask us to correct it, ask us to delete it, and opt out of marketing email at any time. Email hello@usbnventures.com and we will respond within thirty days, usually much sooner. We may need to verify your identity before acting on a request, which normally means replying from the email address on file.
New York residents. New York law requires us to maintain reasonable safeguards for private information and to notify affected residents if a breach compromises it. We honor access and deletion requests from New York residents as a matter of practice, on the same terms described above.
California residents. Under the CCPA as amended by the CPRA you have the right to know the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of recipients; the right to delete; the right to correct inaccurate information; the right to opt out of sale or sharing; the right to limit use of sensitive personal information; and the right not to be discriminated against for exercising any of them. We do not sell or share personal information, and we do not use sensitive personal information for purposes beyond what is described in this policy, so there is nothing to opt out of. You may use an authorized agent to submit a request.
EU and UK visitors. If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the right to access, rectification, erasure, restriction, portability, and objection, and the right to lodge a complaint with your supervisory authority. Our lawful bases are: performance of a contract for delivering services and handling billing; legitimate interests for responding to inquiries, securing our systems, and understanding aggregate site usage; consent for marketing email and non-essential cookies, which you may withdraw at any time; and legal obligation for tax and compliance records. We are a small United States company and do not currently have an EU or UK representative, but you can reach us directly at hello@usbnventures.com. Where information is transferred to the United States, we rely on standard contractual clauses or your explicit consent as appropriate.
Security
We use reasonable technical and organizational measures to protect information: encrypted connections across the site, access limited to the people who need it, multi-factor authentication on the accounts that support it, a password manager rather than shared credentials, least-privilege access to client systems, and prompt removal of access when an engagement ends or a role changes.
No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you and any required authority as the law directs.
Children
This site and our services are directed to businesses and to adults, not to children. We do not knowingly collect personal information from anyone under sixteen. If you believe a child has provided us information, email hello@usbnventures.com and we will delete it.
Third-party links
Our site and our articles link to other websites, tools, and platforms we find useful. Those sites are operated by other companies with their own privacy practices, and we are not responsible for what they collect or how they use it. Read their policies before you hand over information.
Changes to this policy
We update this policy when our practices, our tools, or the law change. The date at the top of the page always reflects the current version. If a change is significant, for example a new category of data or a new purpose, we will say so plainly at the top of the page and, where required, ask for your consent before it applies to you.
